Summary

A benefits administration provider was running policy and renewal management out of spreadsheets and email, leaving it with data integrity issues, invisible approvals and no audit trail. We implemented Sales Cloud with a custom provider, carrier, client and brokerage account structure, opportunity records as the shared source of truth, formal approval processes with change-log tracking, Azure SSO and Salesforce Shield field history tracking. The result is a fully auditable approval and renewal process that meets the firm's compliance and security standards, with strong adoption across functional teams.

Challenge

Policy and client information lived in spreadsheets, creating data integrity problems and forcing staff to enter the same policy documentation multiple times. Process handoffs between functional groups were slow and unclear, and all-staff emails were used in place of targeted notification. Approvals ran over email with no visibility or audit trail, which failed to meet compliance expectations, and renewal tracking was manual enough that opportunities were being missed.

Solution

We implemented Sales Cloud with a custom account structure covering providers, carriers, clients and brokerages, and customized opportunity records became the single source of truth across all functional groups. Formal approval processes were built with change-log tracking so every decision is auditable end to end. Security was hardened through Azure SSO integration, a rebuilt permission model, and Salesforce Shield for comprehensive field history tracking.

Results

Spreadsheet silos were eliminated and redundant data entry reduced, with cross-team handoffs and targeted notifications replacing mass email. Approval processes are now fully auditable and meet compliance requirements, and renewal tracking is automated. Adoption was strong, with teams reporting meaningful efficiency gains.
